HOW IT WORKS

This is the exact template I use to plan all of my trips. From organizing all of my ideas to figuring out where to stay to storing all of my flights in a central location, this template has everything you need to make your dream trip a reality. Follow the steps below to learn how to use this document.

Ideas & Inspiration

The first step in my trip-planning process is to look through lots of blogs, social media sites, and anything else I can find to get ideas and inspiration for what I want to do on my trip. Think of this sheet as a “brain dump” of anything and everything that you might want to see, do, or eat on your trip. You’re not committing yourself to any of it! But this is the sheet you’ll come back to as you’re building out your itinerary.

Some key phrases I use to find the right blogs are:

  • Best restaurants in XYZ
  • Top activities in XYZ
  • When to visit XYZ

Daily Itinerary

Now it’s time to put it all together! Use the information you gathered on the Ideas & Inspiration sheet and start breaking it down by day. I would also make sure that you have saved each place you might want to go into Google Maps – this will make it much easier to figure out what is close to each other and to be able to make last-minute changes without wifi while you’re there.

Travel & Transportation

I find it valuable to outline all of my travel & transportation on a separate sheet so I can have it in one place. I also recommend including this as a line item in the Daily Itinerary sheet, but it can get lost in the shuffle if you have a lot of other content in there. Here’s where you can refer back to find all of the information to reduce the stress on the most important days of your trip.

Actual Spending

We all know that sometimes our budget and our actual spending can differ, no matter how hard we try. This sheet is used to track your actual spending on the trip, which is valuable especially if you’re traveling with others. The items in the ‘Activities’ column will automatically generate based on what you put on the ‘Daily Itinerary’ sheet. I also recommend using an app like SplitWise to easily calculate and send money if you’re traveling in a group.
